Opportunity in our Santiago, Chile office – Project Coordinator

Kallman Worldwide, Latin America is looking for a full-time Project Coordinator in our Santiago, Chile office to provide administrative support to the project manager and its team in the execution of assigned tradeshow projects. For this role, you must have excellent time & task management skills, be adaptable to changing environment and deadlines, and be an excellent communicator with strong attention to detail.

 

Project Coordinator Responsibilities include (but not limited to):

 

  • Assist Project Manager in all administrative functions and processes
  • Monitor all moving parts of the project with awareness of project timelines and deadlines so that facets are synchronized and moving forward
  • Assist with planning and management of trade show special events
    • Venue, catering, transportation, photographer, other vendors
    • Event schedules, invitations, other communication with exhibitors and guests
    • Manage RSVPs, attendee management
    • Maintain other on-site contact lists
  • Coordinate various marketing projects; monitoring timelines, ensuring all materials are created, ordered, & produced for various events
  • Assist in maintaining online content for tradeshow projects
  • Assist with international travel arrangements for team members
    • Hotels, flights, meeting schedules
  • Schedule project meetings, prepare meeting agendas, take notes, and follow through on action items with team members
  • Enter data into CRM system and Project Management Software

 

Qualifications/Skills:

  • Proficient in Office 365 (Outlook, Word, Excel, PowerPoint)
  • Familiar with Adobe Creative Cloud (Illustrator, InDesign, Photoshop)
  • Strong attention to detail, while able to manage multiple projects & priorities
  • Able to produce quality work in a fast-paced environment
  • Deadline driven
  • Excellent communication skills (oral and written)
  • Must be fluent in English and Spanish
  • Some trade show or event experience (preferred but not required)
  • Bachelor’s Degree in Business Administration, Communications or a related field
