Staff Assistant

Kallman Worldwide is looking for a full-time Staff Assistant for a busy trade show office based in Waldwick, NJ. Staff Assistant will provide a wide range of administrative support to the operations and custom design team in the execution of show projects. This role is ideal for a solution-oriented self-starter with a confident demeanor who enjoys working with a small team in a fast-paced trade show environment. The right candidate must have strong time & task management skills, be an excellent internal and external communicator and be adaptable to changing environment and deadlines.

 

Staff Assistant Responsibilities include (but not limited to):

  • Write and prepare correspondence, quotes and other written material as required for the department staff; produce presentations, documents, and reports.
  • Monitor department timelines and deadlines; prepare written reports with charts to summarize task status for a project.
  • Provide superior customer service to customers, fielding questions and sending communications; handle phone calls and emails with the highest level of customer service.
  • Communicate with international stand builders and organizers; assist the design team on quotations and design version tracking.
  • Enter, extract, format, and report data; send information to show organizers.
  • Track expenses and prepare basic financial reports; provide administrative assistance with accounts receivable/accounts payable; calculate cost, mark-up percentages and pricing tiers.
  • Purchase supplies, track inventory and assist with international shipments and documentation.
  • Update and maintain online content on company website and exhibitor online portals.
  • Prepare meeting agendas, take notes, and follow through on action items with team members.

Qualifications/Skills:

  • Intermediate proficiency in Office 365 (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat; familiar with MS Teams & SharePoint & CRM (customer database) system.
  • Strong attention to detail; comfortable with technical details and concepts as well as higher level, overall project awareness.
  • Excellent communication skills, both oral and written.
  • Multi-tasker able to set and manage priorities and meet deadlines.
  • Accurate and timely data entry
  • Outstanding customer service skills
  • Bachelor’s Degree in Business, Communications, or a related field required, with minimum 1 year of related experience performing administrative support in a business environment.
