Trade Show Operations Administrator

Kallman Worldwide is looking for a full-time Operations Administrator in our Waldwick, NJ office to oversee the successful implementation of all operational requirements of assigned trade show projects. While working with the project team, the operations administrator must provide superior customer service to our clients (exhibitors) as well as serve as a liaison between our exhibitors and the trade show organizer. For this role, you should have excellent time & task management skills and be an outstanding communicator with the ability to handle a high volume of communications.


Operations Administrator Responsibilities include (but not limited to):

  • Obtain and communicate pertinent show information from show organizer team to adhere to show rules and strict deadlines
  • Work with show organizer team, stand builder, and project team to ensure project designs and layouts meet organizer rules and requirements as well as budget and company standards
  • Coordinate logistical requirements and negotiate rates with all vendors for onsite services
  • Work closely with the stand builder throughout the entire timeline of the project including:
    • Crafting RFP to providing recommendation of stand builder to Project Manager
    • Meeting deadlines for the collection and submissions of exhibitors’ orders to the stand builder
    • Determine booth build up schedule
  • Create, maintain, and manage all exhibitor communications to meet deadlines and ensure good customer service
  • Collaborate with Project Manager and team to assist in meeting project goals and delivering project requirements including onsite supplies for traveling team
  • Travel to and provide on-site support
  • Maintain inventory, prepare for shipment, and unpack supplies and materials for shows



  • Proficient in Office 365 and Adobe Acrobat
  • Strong attention to detail, while able to manage multiple tasks & priorities
  • Able to produce quality work in a fast-paced environment
  • Excellent communication skills (oral and written)
  • Ability to handle high volume of phone calls and emails on a daily basis with high level of customer service
  • Must be able to travel internationally
  • Some trade show or event experience preferred
  • Bachelor’s Degree in Business, Communications, or a related field
