Exhibitor Services Representative

Kallman Worldwide is looking for an Exhibitor Services Representative (ESR) to work in our
Waldwick, NJ office. The ESR will maintain the highest level of professionalism, productivity, and customer service for our trade show exhibitors, ensuring that customer inquiries and requests for services are handled with appropriate and timely follow through.

Exhibitor Services Representative Responsibilities include (but not limited to):

  • Front line of support and question resolution for customers, helping exhibitors understand products, services and resolve questions. Daily office activities include answering incoming exhibitor phone calls and emails, attending to online orders, and other general office tasks.
  • Responsible for communicating exhibitor needs to the appropriate Operations Specialist; remain in close communication with the Operations Specialist to ensure all needs are being met. Update workflow documentation to ensure that all ordered services are communicated to the Operations Specialist for fulfillment and delivery on-site.
  • Helps with portal interface, access, and task completion; performs accurate and timely data entry of exhibitor orders into the system.
  • Uploads exhibitor lists as supplied by the project team and manages the registration of customers with the show organizer; verifies the exhibitor registration information and makes updates as necessary.
  • Maintains basic knowledge of Exhibitor Rules and Regulations as it pertains to each individual event.
  • Oversees the deadline management, ensuring all deadlines are correctly communicated and met. Assists in auditing exhibitor portals, price tables and exhibitor communications as necessary.
  • Monitors service order submissions, billing, invoicing, and accounts receivable through the database; coordinates with the Finance Department on credits and balances due; contacts customers for payment ICW Finance Department if needed.
  • Performs general office tasks, prepares correspondence, maintains records and files, monitors department purchases and assists with inventory management.

Qualifications/Skills:

  • Bachelor’s degree from four-year college or university. The bachelor’s degree requirement may be substituted with an associate degree plus two years of related experience within the
    Exhibition/Convention Industry.
    • Strong knowledge in Office 365 (Outlook, Word, Excel, PowerPoint)
    • Excellent customer service
    • Well-organized; able to multi-task
    • Strong communication skills (oral and written)
    • Ability to work in a deadline-driven, fast-paced environment

Project Manager

Kallman Worldwide is looking for an experienced Project Manager in our Waldwick, NJ office to plan and manage the successful and profitable execution of multiple assigned show projects.
The position requires a strategic thinker with excellent organizational and communication skills.
The ideal candidate is ambitious and enjoys working in a fast-paced events environment with hard deadlines.

Project Manager Responsibilities include (but not limited to):

  • Manage a cross-functional team (Sales, Exhibitor Services, Marketing, & Administrator) for each tradeshow project under purview
  • Ensure standard protocol for successful deliverables within the project scope
  • Establish and maintain relationships with Show Organizers and other stakeholders including Government Entities, NGOs and Corporations, large and small
  • Negotiate agreements (space and terms) with Show Organizer
  • Work with all members of the project team to understand and ensure all responsibilities of the project are completed and executed to the company’s high standards
  • Utilize project management and event database software with proficiency
  • Attend international trade shows (up to 9 days duration; anticipated travel 25-35 days/year)

Qualifications/Skills:

  • Bachelor’s degree required (Business, Marketing, Sales, or International Studies preferred), with minimum 5-8 years knowledge of Tradeshow Industry
  • Proficient in Office 365 (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
  • Ability to exercise excellent judgment and discretion
  • Comfortable working with C-Level/C-Suite Executives
  • Excellent communication skills (oral and written)
  • Ability to work in a deadline-driven, fast-paced environment
  • Strong analytical skills and able to think outside the box
  • International travel is required

Sales Account Executive

Kallman Worldwide is looking for an experienced Sales Account Executive in our Waldwick, NJ office. This position requires a self-starter with excellent organizational and communication skills. The ideal candidate enjoys working in a fast-paced events environment and has an interest in the international trade show industry.

Sales Account Executive Responsibilities include (but not limited to):

  • Selling exhibit space and sponsorship opportunities at international trade shows
  • Sourcing and developing leads and opportunities
  • Managing various communications to clients on a daily basis
  • Keeping detailed records of client interactions via sales management system (Ungerboeck CMS)
  • Attending domestic and international trade shows

Qualifications/Skills:

  • Bachelor’s degree (Sales, Marketing or Business preferred) with minimum 3-5 years of related sales experience
  • Proficient in Office 365 (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
  • Able to multitask, prioritize and meet deadlines
  • Excellent communication skills (oral and written)
  • Resourceful and strategic with the ability to work independently as well as in a project team
  • Ability to travel 3-9 days duration, both domestically and internationally.  Anticipated travel 30 days/year
